CCTV Footage ng Security Guard: Kailan Dapat I-preserve Bago Ma-overwrite?

 May incident sa site.

May reklamo.

May naiwang gamit.

May confrontation sa lobby.

May unauthorized entry concern.

May discrepancy sa logbook, radio report, at actual time ng pangyayari.

Ang unang tanong madalas:

“May CCTV ba?”

Control room ba?

OIC ba?

Supervisor ba?

Admin ba?

Security office ba?

Client representative ba?

May written request ba?

May logbook entry ba?

May incident report reference ba?

  1. Incident sa access control, lobby, gate, parking, hallway, stockroom, restricted area, o perimeter
  2. Complaint ng visitor, employee, tenant, client, customer, o guard
  3. Physical altercation, commotion, threat, harassment, accident, injury, o emergency response
  4. Nawawalang gamit, found property, possible theft, damage, or unauthorized movement
  5. Dispute sa exact time ng pangyayari
  7. Situation na may possible mismatch sa logbook time, radio time, at actual event time
  9. Request ng supervisor, client, management, or authorized personnel for review
  10. Any event na alam mong puwedeng balikan sa report, inquiry, complaint, or incident review

Report early.

Flag properly.

Record the coordination.

Practical Sequence: Ano ang Dapat Gawin ng Guard?

1. Identify kung Posibleng Kailangan ng CCTV Review

Tanungin sa sarili:

May incident ba?

May complaint ba?

May disputed detail ba?

May involved person ba?

May possible liability, damage, injury, loss, o access concern ba?

Kung oo, treat it as possible CCTV review concern.

Ibig sabihin, kailangan mong i-report at i-coordinate through proper channel.

2. Report the Incident Promptly

Unahin pa rin ang safety, emergency response, access control, and proper reporting.

Kung active emergency, response muna according to site procedure.

Early reporting matters because early coordination can trigger faster CCTV preservation.

3. Flag the Possible Need for CCTV Preservation

Huwag lang sabihin:

“May incident po.”

Mas malinaw:

“Sir/Ma’am, for possible CCTV preservation po, may incident sa lobby area around 8:10 PM to 8:25 PM involving visitor complaint. Kindly advise po through proper procedure.”

Or:

“Control, please note possible CCTV preservation request for Gate 2, around 6:35 PM to 6:50 PM, related to unauthorized entry concern. Reporting to OIC for instruction.”

Hindi ito pagkuha ng footage.

Hindi ito pag-release ng video.

Hindi ito pag-share sa personal phone.

Ito ay pag-flag sa authorized personnel na may possible need to preserve or review footage according to site procedure.

4. Provide Exact Date, Time Range, Location, and Incident Description

Ito ang madalas nagiging problema.

Kapag sinabi lang na:

“Pakicheck CCTV kanina.”

kulang iyon.

Mas helpful kung may:

Date

Estimated time range

Exact location

Camera area kung alam

Short incident description

Names or identifiers only if allowed by site procedure

Incident report or log reference kung available

Example:

“July 2, 2026, around 7:40 PM to 7:55 PM, lobby entrance near reception desk. Visitor raised complaint after access denial. Possible CCTV review needed for incident documentation. Reported to OIC at 8:02 PM.”

5. Record Who Was Notified and When

After flagging, i-document ang coordination.

Depende sa site procedure, puwedeng ilagay sa logbook, incident report, communication log, turnover sheet, or official reporting channel.

Include:

Sino ang sinabihan

Position or role niya

Time of notification

Method of communication

Instruction received

Pending action, if any

Example:

“8:02 PM - Notified OIC Santos regarding possible CCTV preservation for lobby incident, estimated 7:40 PM to 7:55 PM. OIC instructed to include details in incident report and wait for control room confirmation.”

This protects the guard because it shows na hindi niya hinayaan mawala sa hangin ang concern.

6. Do Not Assume the Footage Will Remain Available

7. Do Not Personally Copy, Share, or Release Footage Unless Authorized

CCTV footage is sensitive.

Puwedeng may personal information.

Puwedeng may client policy.

Puwedeng may privacy concern.

Puwedeng may incident review process.

Puwedeng may authorized release procedure.

Kaya huwag basta:

I-video ang monitor gamit ang personal cellphone

I-send sa group chat

I-forward sa kaibigan

I-upload sa social media

Ibigay sa kung sino-sino

Mag-download kung hindi authorized

Mag-copy sa personal USB or personal device

Ang guard should follow site procedure.

8. Endorse Pending CCTV Request During Turnover

Example endorsement:

“Pending: Possible CCTV preservation request for lobby incident on July 2, 2026, estimated 7:40 PM to 7:55 PM. OIC Santos notified at 8:02 PM. Awaiting control room confirmation.”

9. Include the Coordination in the Incident Report or Log

“Possible CCTV preservation was flagged to the OIC at approximately 8:02 PM for the lobby entrance area, estimated time range 7:40 PM to 7:55 PM, for proper review according to site procedure.”

Kapag maayos ang incident report, mas malinaw ang timeline. Related dito ang Incident Report: Proteksyon ba o Panlalaglag sa Security Guard?.

Bakit Exact Time at Location ang Malaking Bagay?

CCTV review is time-sensitive and detail-sensitive.

Exact or estimated time

Time range, not just one minute

Location

Camera area

Incident description

Person or item involved, if allowed

Reference to logbook or incident report

Mas okay ang honest estimated time kaysa mag-imbento ng exact time.

Example:

“Estimated between 9:15 PM and 9:25 PM.”

Flag the need.

Give the details.

Record the coordination.

Wait for instruction.

Follow site procedure.

Report.

Flag.

Record.

Coordinate.

Follow authorized procedure.

What to Document After Flagging CCTV Preservation

After mo mag-flag, huwag hayaang verbal lang.

Depende sa site SOP, i-document ang:

Date and time of incident

Date and time of CCTV preservation flag

Location or camera area

Estimated time range requested

Short description of incident

Person notified

Role or position of person notified

Instruction received

Reference number, log entry, or incident report number if available

Pending status

Turnover endorsement if unresolved

Kung may later update, i-record din:

“Control room confirmed footage marked for review.”

“OIC advised written request to admin.”

“Client security office to handle CCTV request.”

“Pending due to unavailable authorized personnel.”

Keep it factual.

No accusation.

No guessing.

What to Endorse During Turnover

Anong time range ang possible footage

Sino ang na-notify

Ano ang instruction

Ano ang pending

Ano ang dapat bantayan

Ano ang hindi dapat gawin

Example:

“Pending CCTV preservation concern for parking area incident, July 2, estimated 5:20 PM to 5:35 PM. Reported to Supervisor Reyes at 5:50 PM. Awaiting admin confirmation. Do not release or share any footage. Follow supervisor instruction.”

Kapag kinabukasan, after 3 days, or after 1 week pa na-flag, may risk na overwritten na ang footage.

Mistake 2: Sobrang General ng Request

“Check CCTV.”

Kulang ito.

Dapat may date, time range, location, and incident description.

Mistake 3: In-assume na Forever ang CCTV Footage

Hindi forever ang storage.

May retention period.

May automatic overwrite.

Mistake 4: Hindi Na-document Kung Sino ang Sinabihan

Kapag walang record, mahirap patunayan na na-flag mo pala on time.

Mistake 5: Hindi Na-endorse sa Turnover

Pending issue, pero hindi nasabi sa reliever.

Next shift, walang alam.

CCTV footage should not be casually shared.

Mistake 8: Nag-conclude Agad na May Nagbura

Kung hindi pa verified, huwag mag-accuse.

Puwedeng automatic overwrite.

Puwedeng wrong time range.

Puwedeng wrong camera.

Puwedeng retention issue.

Puwedeng access issue.

Stick to facts.

Connection sa Incident Scene

CCTV preservation is part of incident scene and documentation protection.

Minsan pati digital record, timeline, radio report, logbook, and CCTV footage kailangan ma-flag through proper channel.

Kung hindi pa nababasa, start with Incident Scene ng Security Guard: Bakit Hindi Dapat Basta Galawin, Linisin, o I-video ang Area?

That article explains why the first response should protect safety, condition, documentation, and coordination without overstepping the guard’s role.

TSTS Practical Reminder

Kapag may incident na puwedeng kailanganing balikan:

Report early.

Flag properly.

Give exact time and location.

Record who was notified.

Do not personally copy or share footage unless authorized.

Endorse pending CCTV concern during turnover.

Include the coordination in the log or incident report according to site procedure.

Ang guard should report, flag the need, provide details, and document the coordination.

2. Kapag may CCTV ba, sure na available pa ang footage?

Hindi. Depende ito sa CCTV retention period, storage capacity, system settings, number of cameras, recording quality, and automatic overwrite. Kaya mahalaga ang early flagging.

Huwag gawin unless clearly authorized by site procedure. Personal cellphone recording or sharing can create privacy, confidentiality, and procedure issues.

Date, estimated time range, exact location or camera area, short incident description, and the reason why the footage may be needed for incident review or documentation.

5. Ano ang ilalagay sa incident report?

Ilagay ang factual coordination: kailan na-flag, kanino sinabi, anong time range/location ang nirequest, and any instruction received. Avoid accusation or conclusions not personally verified.

6. Paano kung overwritten na ang footage?

Document the timeline factually: kailan nangyari ang incident, kailan na-report, kailan na-flag, sino ang na-notify, and what response was received. Huwag agad mag-accuse unless verified through proper channel.
